Hall Hire Policy

  1. Purpose of the Policy
    Pamphill Parish Hall exists for the benefit of the local community. This Lettings Policy sets out the
    principles under which the Hall may be hired and used, ensuring that it is managed safely, fairly and
    in line with the Hall’s charitable objectives.

  2. General Principles
    Pamphill Parish Hall is available for hire for:
    • Community, social, recreational and educational activities
    • Private functions such as parties and celebrations
    • Meetings and events that are compatible with the Hall’s purpose
    All lettings are subject to:
    • Availability
    • Compliance with this policy
    • Acceptance of the Hall’s Terms & Conditions of Hire
    The Hall Committee reserves the right to refuse or cancel any booking at its discretion.

  3. Eligibility to Hire
    • The Hall may be hired by individuals or organisations.
    • The person making the booking will be deemed the Hirer and will be responsible for
    compliance with all policies and conditions.

  4. Use of the Hall
    The Hirer must ensure that:
    • The Hall is used only for the purpose stated in the booking
    • The maximum occupancy of 120 is not exceeded
    • All activities comply with relevant legislation and regulations
    • The Hall, its equipment and surrounding areas are respected
    The following are not permitted without prior written approval:
    • Activities that may cause nuisance to neighbours
    • Activities that present unacceptable health and safety risks
    • Events that conflict with the Hall’s charitable objectives

  5. Equality and Inclusion

Pamphill Parish Hall is committed to equality and inclusion.
All lettings must comply with the Hall’s Equality & Diversity Policy.
The Hall will not be let for activities that promote discrimination, harassment or exclusion.
6. Safeguarding
Hirers are responsible for ensuring appropriate safeguarding arrangements are in place where
activities involve:
• Children
• Young people
• Vulnerable adults
Hirers must comply with the Hall’s Safeguarding Policy and any relevant legal requirements.
7. Health and Safety
Hirers must:
• Take reasonable steps to ensure the safety of all attendees
• Familiarise themselves with fire exits, alarms and emergency procedures
• Report any accidents, incidents or hazards
Hirers must comply with the Hall’s Health & Safety and Fire Safety policies.
8. Insurance and Liability
• Hirers are responsible for any damage caused during the period of hire
• The Hirer may be required to hold appropriate public liability insurance, depending on the
nature of the event
• Pamphill Parish Hall accepts no responsibility for loss or damage to personal property
9. Payment and Cancellations
• Hire charges must be paid in accordance with the Hall’s booking arrangements
• Cancellation terms are set out in the Terms & Conditions of Hire
• Refunds, where applicable, are at the discretion of the Hall Committee
10. Breach of Policy
Failure to comply with this Lettings Policy or the Terms & Conditions of Hire may result in:
• Cancellation of the booking
• Refusal of future bookings
• Recovery of costs for damage or additional cleaning
